1. Who we are
Kaeros operates kaeros.app and provides CV writing, CV review, cover letter, LinkedIn profile, interview preparation, career document, and related career-support services. 2. What this policy covers
This Privacy Policy explains how we collect, use, store, disclose, and protect personal data when you use kaeros.app; create an account; request a free CV review; buy a paid service; upload a CV or other career document; complete an intake form; use AI-assisted or human-assisted intake; book a session; contact support; subscribe to emails or SMS messages; participate in affiliate or promotional programmes; or otherwise interact with Kaeros.
3. Personal data we collect
Depending on how you use Kaeros, we may collect the following categories of data: Account and identity data: name, display name, email address, login details, user role, preferred language, notification preferences, account status, and consent timestamps. Contact and profile data: phone number, city, country, preferred name, LinkedIn URL, target roles, preferred locations, career goals, skills, tools, software, education, work experience, projects, certifications, languages, volunteering, courses, driving licences, and similar career-profile information. CV and career-document data: old CVs, rewritten CVs, cover letters, LinkedIn review notes, job-adapted versions, revision notes, uploaded documents, comments, feedback, and files generated or edited as part of our service. Billing and payment data: billing name, billing email, billing country, billing address, postal code, payment status, payment provider references, invoice references, pricing region, currency, VAT-related fields, refund status, promo codes, and payment verification details. We do not intentionally store full card numbers. Payment card processing is handled by payment providers. Service and support data: order status, intake status, session bookings, meeting details, customer messages, support requests, disputes, ratings, comments, internal service notes, writer/QA assignments, status history, and operational logs. Marketing and communication data: email subscription status, unsubscribe status, email delivery, open and click events, SMS preferences, SMS delivery logs, campaign categories, language, communication consent, suppression status, and communication frequency controls. Technical and usage data: IP address, approximate country/region, device type, session identifiers, browser/user agent, analytics events, intake completion events, validation errors, autosave events, referral or affiliate attribution, and security logs. Sensitive data: a CV may accidentally contain sensitive data, such as a photo, nationality, disability information, health-related information, union membership, political activity, religious activity, or other special-category data. We do not require this data unless it is genuinely necessary for your requested service. You should avoid uploading or entering sensitive information unless you specifically want it considered for your CV and it is lawful and relevant.
4. How we collect data
We collect data directly from you when you submit forms, upload files, purchase a service, contact us, book a session, or manage preferences. We may also collect data automatically through our website, app, analytics, security systems, email systems, payment providers, and affiliate tracking.
5. Why we use your data and legal bases
We process personal data to: provide our services; manage orders, payments, billing, invoices, refunds, and fraud prevention; operate accounts, dashboards, status pages, and user settings; communicate with you about your service; send marketing communications where permitted; improve Kaeros and measure performance; protect Kaeros, users, staff, and systems; and comply with law. Legal bases may include performance of a contract, steps before entering into a contract, consent, legitimate interests, legal obligation, and establishment or defence of legal claims.
6. AI-assisted processing
Kaeros may use AI tools to support internal drafting, structure, editing, analysis, quality control, translation, summarisation, intake assistance, or workflow efficiency. AI is used as an assistance tool, not as a final independent decision-maker for career outcomes. Human review remains central where a service is described as human-written, HR-reviewed, or human-assisted. Where possible, we minimise the personal data shared with AI tools. However, if AI assistance is used to process your CV, intake information, or career documents, relevant data may be processed by trusted technology providers under appropriate safeguards. We do not guarantee that AI-assisted suggestions are perfect, error-free, or suitable for every employer, jurisdiction, ATS system, or hiring process.
7. Human reviewers, writers, QA, and collaborators
To provide the service, your data may be accessed by authorised Kaeros team members, writers, reviewers, HR/QA collaborators, support staff, contractors, and technical providers. Access is limited to what is reasonably necessary for the assigned service, support, quality, security, or legal purpose.
8. Who we share data with
We may share personal data with hosting and infrastructure providers; authentication providers; file-storage providers; payment providers; email providers; SMS providers; analytics providers; AI/automation providers; customer-support tools; accounting, tax, and legal advisors; writers, QA reviewers, and service contractors; affiliate and referral systems where applicable; and authorities, regulators, courts, or law-enforcement bodies where legally required. We do not sell your personal data to advertisers.
9. International transfers
Some providers may process data outside Greece, the EU, or the EEA. Where this happens, we use appropriate safeguards such as adequacy decisions, Standard Contractual Clauses, contractual protections, provider security commitments, and data-minimisation practices where required.
10. How long we keep data
We keep personal data only as long as reasonably necessary for the purpose collected, unless a longer period is required for legal, tax, accounting, security, dispute, or fraud-prevention reasons. Indicative retention periods: account data while your account is active and for a reasonable period after closure; order and billing data as required by tax, accounting, and legal rules; CV files and service documents normally up to 24 months after completion unless earlier deletion is requested and no legal exception applies; free review files normally up to 12 months; support messages and disputes normally up to 3 years; marketing preferences and suppression records as long as needed to respect unsubscribe choices.
11. Your rights
Subject to legal conditions, you may have the right to: access your personal data; correct inaccurate data; request deletion; request restriction of processing; object to processing; request data portability; withdraw consent; object to direct marketing; and lodge a complaint with a supervisory authority. To exercise your rights, contact support@kaeros.app. We may need to verify your identity before acting on your request. Some data cannot be deleted immediately if we must keep it for legal, tax, accounting, security, dispute, or legitimate business reasons.
12. Deleting your account
You may request account deletion through the Delete Account page or by contacting support@kaeros.app. Account deletion does not always mean immediate deletion of all data. We may retain limited data where necessary for legal compliance, accounting, tax records, fraud prevention, security, dispute handling, enforcement of Terms, or protection of legal claims.
13. Marketing emails and SMS
You can unsubscribe from marketing emails through the unsubscribe link, your preferences page, or by contacting us. You can opt out of marketing SMS through the SMS Preferences page or by contacting support@kaeros.app. Even if you unsubscribe from marketing communications, we may still send necessary transactional or service emails, such as order confirmations, security messages, invoices, delivery messages, or support replies.
14. Security
We use reasonable technical and organisational measures to protect personal data, including access controls, role-based permissions, secure hosting, logs, and operational safeguards. No online service can guarantee absolute security. You are responsible for using a secure email account, protecting your login credentials, and avoiding unnecessary sensitive uploads.
15. Children
Kaeros is not intended for children under 16. We do not knowingly provide services to children without appropriate consent where required by law.
16. Third-party links
Kaeros may link to third-party websites, job boards, payment providers, social platforms, LinkedIn, or other resources. We are not responsible for their privacy practices, content, or terms.
17. Changes to this policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new "Last updated" date. Where legally required, we will provide additional notice or request consent.
